The field of project management software is vast and home to a wide variety of useful solutions, including Asana and Smartsheet. While these popular solutions differ slightly in some of their core features, they both offer simple work management tools, such as team collaboration and third-party app integrations.

We’ll compare and contrast these two solutions based on the key features the best project management tools should have. For this comparison, we’re diving into the Premium version of Asana and the Business version of Smartsheet; these are the recommended versions for professional use.

What is Asana?

Asana is one of the most popular cloud-based project management tools. It focuses on simple task and project management, as well as team collaboration. Asana makes it easy for teams to track every aspect of a project, from planning to execution.

What is Smartsheet?

smart sheet is a collaborative work software solution. True to its name, Smartsheet offers a spreadsheet-like interface with flexible views. With Smartsheet, teams can manage projects, create fully customized workflows, and more.

Asana vs Smartsheet: Key Features Comparison

Both Asana and Smartsheet come with a wide range of features that any solid project management tool should offer. For this review, we used the following key features to compare and contrast these powerful tools:

  • Project management
  • Team collaboration
  • Resource management
  • Integrations

Project management

First of all, it is important to know that both tools are used for project management. However, the execution is a bit different. Smartsheet structures projects and tasks in a spreadsheet-like format. And while the tool offers other views, such as Calendar View and Map View, sheets can quickly become complex, especially if team members aren’t familiar with spreadsheets.

Asana is a little more intuitive when it comes to using the interface and creating projects. For example, users can simply add tasks to My Tasks to work from a traditional “to do” style list. Or they can use more complex views, such as Table view or Timeline view.

Beyond the usability differences, there’s little difference in the features Asana and Smartsheet offer for project management. For example, both tools offer task dependencies, Kanban-style board views, Gantt views, project reminders, and automated workflows. Additionally, both tools allow teams to add project tasks and subtasks and assign users to those tasks for easy management.

Team collaboration

Asana and Smartsheet are great tools for collaborating at work. In Asana, organizations can create teams for each project to ensure everyone is on the same page and can see project-specific tasks. And in Smartsheet, multiple team members can work on a spreadsheet simultaneously.

Additionally, both tools allow teams to discuss tasks via comments and tag other users to start conversations. All conversations regarding a specific task are hosted in one place for easy reference.

Resource management

Both Asana and Smartsheet include resource management tools as part of their solution. Asana offers Workload, a workload management, capacity planning, and resource allocation tool. Smartsheet also provides built-in resource allocation tools. Both tools allow teams to view current workloads and provide the ability to reallocate resources as needed.

One of the main differences is that Smartsheet has built-in time tracking. These time tracking tools include one-click pre-populated timesheets and a mobile time tracking app. Currently, Asana does not offer time tracking without implementing a third-party integration.

Speaking of third-party integrations, any project management tool should allow teams to connect their existing workflows. Asana and Smartsheet offer many integrations. Some of these integrations include communication apps, like Slack and Microsoft Teams, and data visualization apps, like Jira.

Asana and Smartsheet also offer APIs for developers who want to build their own integrations.

Pricing is a key differentiator between Asana and Smartsheet. For Asana Premium, teams can expect to pay $10.99 per user per month billed annually. For Smartsheet, teams will be charged $25.00 per user per month, also billed annually.

Asana vs. Smartsheet: Which Should You Choose?

Just like selecting any other tool for business, choosing between Asana or Smartsheet depends on the needs of the team. The tools are so similar that teams can’t go wrong with either choice. However, for teams that are familiar with spreadsheets and want more robust resource scheduling features like time tracking, Smartsheet may be the better option. For teams that want to prioritize simplicity when it comes to project management, Asana might be the best bet.
